Gifting email templates
Six short emails for the whole gifting cycle, from the first hello to the thank you. Copy one, fill in the brackets and send.
Before you send anything
- Keep it short. Creators read these on a phone between other things. Five sentences is plenty.
- Make it personal in one line. Name a specific video you liked. It shows you looked, and it’s the line they’ll remember.
- Be clear it’s a gift. No obligation to post. Creators who feel pressured are less likely to post, and the relationship suffers.
- Use one sender. Replies should reach a person, not a shared inbox nobody watches.
1. First outreach and address request
Send this by email or DM. Ask for the address in the same message so you skip a round trip.
Subject: Can we send you [Product]? Hi [Name], I’m [Your name] from [Brand]. Your video on [specific topic or video] is the reason I’m writing. [One line on why it stood out.] We make [Product], [one-line description]. I think it fits how you [use case], and I’d love to send you one to try. It’s a gift, with no obligation to post. If you’d like it, just reply with your shipping address and any shade or size preference. Thanks, [Your name] [Brand] · [link]
2. Shipped
Send the tracking link the day it ships. It sets the expectation and keeps you in their inbox without asking for anything.
Subject: Your [Product] is on the way Hi [Name], Your [Product] shipped today. Tracking: [link]. It should arrive around [date]. Inside you’ll find [what’s in the box] and a short card on how to use it. Most people notice [result] after [time]. Any questions, just reply here. [Your name]
3. Did it arrive?
Send this two or three days after delivery. It catches lost or damaged parcels early, and it’s a natural moment to share tips.
Subject: Did your [Product] arrive okay? Hi [Name], Tracking says your [Product] was delivered on [date]. Just checking it arrived in one piece. One tip: [a usage tip that helps them get a good result]. [Your name]
4. A friendly follow-up when there’s no post
A gift isn’t a contract, so this email doesn’t ask for a post. It asks how it’s going. Wait at least three to four weeks after delivery, and send it once. If there’s no reply, let it go.
Subject: How are you finding [Product]? Hi [Name], It’s been a few weeks since your [Product] arrived, so I wanted to ask how you’re getting on with it. Honest feedback is really helpful for us, good or bad. If you ever share it, we’d love to see it. And if it wasn’t for you, no problem at all. [Your name]
5. Thank you after they post
Send it within a day or two. Say something specific about the video, and tell them if you’d like to reshare it.
Subject: Thank you for the [Product] video! Hi [Name], We just saw your video. Thank you! [One specific thing you liked about it.] Would you be okay with us resharing it on @[brand handle], with credit? Totally fine if not. We’ll keep you in mind for [next launch / restock]. [Your name]
6. Asking for a tag when they posted without one
Creators often show a product without tagging the brand. That’s their call, but a kind ask usually works. Lead with thanks, and make it easy to say no.
Subject: Loved your video with [Product] Hi [Name], We spotted [Product] in your [platform] video from [date]. Thank you, it looks great. If you’re open to it, would you add @[brand handle] to the caption? It helps people find us and lets us reshare it with credit. No worries if you’d rather not. [Your name]

Knowing when to send each one
The hard part isn’t writing these emails. It’s knowing who has posted, who hasn’t, and who showed your product without tagging you, so the right email goes to the right person. Our tracking spreadsheet works for a small list.
Pozto watches every TikTok, Reel and Short your creators post and flags who’s due, who went quiet, and who showed your product without a tag. On the Growth plan it drafts the follow-up or the tag request for you to approve in one tap. See influencer gifting.
Questions
How long should I wait before following up?
At least three to four weeks after delivery. Creators often film weeks after a product arrives. Follow up once, and don’t ask for a post.
Should I send these by email or DM?
Either works. Many creators list a business email in their bio, and it’s easier to keep track of. If they only take DMs, shorten the message.
Is it okay to ask a creator to tag us?
Yes, if you ask kindly and once, after they’ve posted. Thank them first and make it easy to say no.
Should I mention disclosure in the email?
It helps to include a line in your brief. See the disclosure section in our influencer brief template.
