What’s in the sheet

The sheet has two tabs. Creators has one row per creator per product you send. Summary adds up the Creators tab for you, so you never count rows by hand.

The Creators tab

ColumnWhat to put in it
CreatorTheir name, so the sheet reads like a list of people.
HandleTheir handle, without the @. One row per platform if they post on several.
PlatformTikTok, Instagram or YouTube.
FollowersFollower count when you shipped. Useful later for comparing post rates by size.
Product sentThe exact product or bundle. Use the same name every time so you can filter.
Ship dateThe day the kit left you.
Delivered dateThe day the carrier marked it delivered. Fill this in; it starts the clock.
Posted?Yes or No. Leave it blank until you’ve checked.
Post URLThe link to the post. Paste the post itself, not the profile.
Post dateThe day the post went up.
Days to postFilled in for you: post date minus delivered date.
Product on screen?Yes if you can actually see or hear the product, not just a mention.
Tagged you?Yes if the caption tags your handle or names your brand.
Views, Likes, Comments, SharesCopy them from the post. Update them once, about a week after posting.
Follow-up sentThe date of your last check-in, so you don’t nudge twice.
NotesAnything else: a new address, a preference, a “posting next week.”

The Summary tab

  • Creators. Everyone on the Creators tab.
  • Delivered. Rows with a delivered date.
  • Posted. Rows marked Yes.
  • Post rate. Posted ÷ delivered. Count from delivery, not shipping, so lost parcels don’t drag the rate down.
  • Average days to post. How long creators take after the product arrives.
  • Total views. All views across posts.
  • Posts that didn’t tag you. Posts marked Posted but not Tagged. This is the number caption search would have missed.

A weekly routine that keeps it accurate

  1. 01

    Monday: update deliveries

Check tracking for anything shipped last week and fill in delivered dates.

  2. 02

    Midweek: check feeds

Open each delivered creator’s TikTok, Reels and Shorts. Log new posts with the URL, date, and whether the product is on screen and tagged.

  3. 03

    Friday: follow up

Filter for delivered, not posted, more than two weeks out, and no recent follow-up. Send a friendly check-in. Our gifting email templates have one ready.

  4. 04

    Once a month: report

Copy the Summary tab into your report. The influencer report template shows what to add around it.

Tips that save you rework

  • Use one row per product per creator. If you send a second product later, add a new row so each one gets its own post rate.
  • Keep platforms consistent. Write “TikTok,” not “TT” in one row and “tiktok” in another, or filters break.
  • Log the post, not the profile. A profile link tells you nothing six months later.
  • Don’t delete creators who never posted. They’re part of your post rate.

Where a spreadsheet breaks

A sheet works for a few dozen creators. Past that, the problems are less about the sheet and more about the checking it depends on.

  • Someone has to open every feed. Each delivered creator, every week, on every platform. That time grows with every kit you send.
  • Untagged posts are easy to miss. If you search by tag, a creator who shows your product without tagging you never shows up, and your post rate looks worse than it is.
  • You have to watch the video. Whether the product is actually on screen means scrubbing through it. Captions don’t tell you.
  • Stories disappear. Instagram Stories vanish after 24 hours. If you check weekly, you miss most of them.
  • Numbers go stale. Views keep climbing after you log them.

That checking is what Pozto does. It watches every TikTok, Reel and Short your creators post, finds your product in the frames, audio and caption, and shows the second it appears, tagged or not. You can import this sheet as a CSV to start. See influencer tracking for how it works.

Questions

Does it work in Google Sheets?

Yes. Download the .xlsx and open it in Google Sheets with File › Import, or upload it to Drive. The formulas carry over. There’s also a plain .csv of the Creators columns.

Is the template free?

Yes. We ask for your email so we can send you the link and the occasional useful update. You can unsubscribe at any time.

Can I use it for paid creators too?

Yes. Add a column for the fee and the agreed post date, and use the same Posted and Tagged columns.

Can I move my sheet into Pozto later?

Yes. Pozto imports a CSV of creator handles, so your Creators tab is a starting point.
